The job is not done until the paperwork is: COIs, invoices and the property manager
The Doral job was done Tuesday. The manager cannot pay you until she has the invoice, the certificate of insurance, and a note with the unit and what was fixed, because her accounting needs all three. It is Friday. She has emailed twice. Your office is looking for the COI. To her, the job is not done.
A note on what this is. It is about the paperwork side of commercial work, which is where most small contractors lose buildings they did good work in. It is not accounting advice.
What the manager actually buys
She buys the fix, and she buys not having to chase you for the paper. A manager with a dozen vendors remembers the ones who made her accounting easy. Your tech can be the best in Doral and she will still move to the company whose invoice showed up with the COI attached, the same day.
The four pieces
- Unit or bay number and date.
- What was done, in a sentence, with a photo.
- The invoice.
- The certificate of insurance, current, with her building named if she requires it.

Why the inbox is the fix
The manager's thread has every job at that building, every invoice, every COI you have ever sent her. When she says "I never got the certificate for the March job," the office opens the thread, sees it was sent March 14 at 4:12 PM, and resends it. Thirty seconds. No search of anyone's email.
Gated communities
Same thing, different paper. The HOA wants the gate access request ahead of time and proof of insurance on file. Both live on the community's record. The tech does not call the office from the gate.
Spanish or English
Doral managers are split. Some want everything in English for the owner in Bogotá; some want Spanish because that is what the board reads. Her language on the record, and the done notice goes out in it.
The COI itself comes from your insurance agent, not from us. What the system does is keep the current one attached to every building and send it without anyone looking.
Questions we get asked about this
Does it generate the invoice?
If you invoice from Jobber or Housecall Pro, keep doing that; the PDF attaches to the thread. If you do not have invoicing, a simple one can be sent from the job card.
Can I store a different COI for different buildings?
Yes. Some managers require their building named as certificate holder. Each building's record holds its own copy.
What if the manager only uses email?
Then the thread sends email. Text, email or both, per contact.
