FOUR TRADES

Four trades. One phone problem. Set up differently for each.

A dead AC, a water heater, a panel upgrade and a storm-damaged roof are very different jobs. But they get lost the same way: the call is answered too slowly, in the wrong language, and the owner never finds out until the month comes up short.

Emergency calls

The AC died at six on a Tuesday in August.

Nobody plans an AC repair. The unit stops. The house is 90 degrees by evening. Somebody starts dialing. They do not leave a voicemail. They hang up and call the next number until a person picks up.

01

Miss a call, and the caller gets a text with a real arrival window, not a promise to call back

02

Nights and weekends covered, because August does not keep business hours

03

Maintenance plan renewals that go out on their own

Job board steps we set up for this trade

New call → Texted back → Diagnostic scheduled → Diagnostic done → Quote sent → Job scheduled → Won / Lost

Talk through this build
EN ESPAÑOL, DE VERDAD

The call comes in Spanish. So does everything after it.

You already know your market. The first hello is not the problem. The eighth message is. The text back goes out in English. So does the reminder, the quote, the link to change the time. One of them slips, and the customer decides you are not for them.

YaContesta.pro notes the language on the first call and keeps it. A Spanish call gets a Spanish confirmation, a Spanish reminder, a Spanish voice agent, and a Spanish link to change the time. The job card shows ES so the right technician picks it up.

Automated first response

Buenas noches. Con gusto. Tenemos un técnico disponible mañana a las 8:00 AM o a las 10:30 AM. ¿Cuál le conviene?

Spanish before they are a customer, not after

A Spanish website and a Spanish flyer are easy. The call that comes in at 9:41 PM is not. That is what we build for. We write the Spanish ourselves, because machine-translated Spanish sounds foreign in Miami, and that is worse than English. It tells the customer you tried, but not hard enough.

The report nobody has run

Say a company books almost half its English calls and only a fifth of its Spanish ones. That is not a marketing problem. It is a language problem on the phone, and nothing in a normal setup measures it. Most companies cannot even pull that number, because nobody built the report.

Made-up numbers, to show the idea. What we can tell you is whether your own numbers look like that, because the report comes with every plan.

In Sweetwater, West Miami and Fontainebleau, most homes speak Spanish.

THE OLD WAY VS. OURS

How calls get lost. And how we stop it.

Most companies lose 40% or more of their callers before anyone books an estimate. Here is why, and what YaContesta.pro does about it.

The old way

Why 40% of callers never book

Phone tag and voicemails

The tech is under a house. Nobody is at a desk. Nobody is free at 7 PM. The company that answers first usually gets the job, and it is rarely the one still on a job.

Website forms nobody sees

A contact form sits in a shared email inbox for a day or two. By then the customer has booked someone else.

No idea where each call stands

Spreadsheets and sticky notes can't tell you who needs a follow-up, who went quiet, or who is ready to book today.

Quotes that get sent once

A panel upgrade or a repipe gets quoted once and forgotten. Nobody follows up. The customer goes cold. Everyone thinks they lost on price.

The YaContesta.pro Way

Every call answered, every call tracked

A text back in seconds

Every new web form gets a text and an email within 30 seconds, in the language they wrote in. They can reply, and you see it.

One inbox for the whole team

Every text, email and web chat lands in one shared inbox. One thread per customer. Your whole team sees the same thing.

A job board you can see

See where every call stands at a glance, from first call to estimate booked to job on the schedule. Nothing falls through the cracks.

Booking forms that ask the right questions

The form gets the address, the unit, what is broken, and permission to text. The tech rolls up already knowing the job.

Included in every plan

Eight tools. One system.

Each one works on its own. Together they do one job: a call comes in, in either language. It gets answered in under a minute. It moves across a board you can see. And it lands in your dispatch software with nothing missing.

Bilingual Booking Forms

One form, both languages, so they never drift apart. It asks for the service, the address and unit, how urgent it is, how to get in, and when they want you there. Goes on any website.

The language they fill it out in is the language of every message after
Works on WordPress, Squarespace, Webflow, Wix or any site
Questions change with the job. A no-cooling call asks different things than a panel upgrade
Alerts the person on your team who handles that language
Goes on your website
WordPress / Squarespace / Webflow

Your web person pastes two lines on your contact page.

That is the whole install. We can do it for you.

What the customer sees
Locked down end to end
Included in every plan

You don’t start from a blank account.

This is what is already built when you log in: two job boards, four sets of automatic messages, and the booking questions your trade actually needs. All of it in English and Spanish. Change what you want. Most companies edit a few lines and go live.

Board 1: New calls, from first ring to booked job

Where you will spend most of your time.

9 steps, already built
1. New Call 01

Sends the first text and email right away, and alerts your office

2. Booking Link Sent 02

The customer gets a booking link and a short form about the job

3. Form In / Needs Review 03

Someone on your team confirms the address, how to get in, and what the job is

4. Estimate Scheduled 04

The customer booked online, or your office booked the estimate for them

5. Estimate Done 05

The tech has seen the job. Waiting on the customer to say yes

6. Approved / Sent to Dispatch 06

The customer said yes. The job goes to your dispatch software (ServiceTitan, Housecall Pro, Jobber)

7. Job Booked (Won) 07

On the schedule. Your dispatch software takes it from here for the truck and the invoice

8. Went Quiet 08

No answer after 3 tries. A slower check-in starts, one message every few weeks

9. Not a Fit (Lost) 09

Out of your area, or they went with someone else. All messages stop

Included in every plan

Connect your calendar and your number, and it runs.

The setup guide walks you through linking your business line, your calendar and your website form. You can do it in one sitting. Moving your number over and registering it with the carriers takes a few extra days before you can go live.

WHERE WE WORK

Built for west Miami-Dade. Works across South Florida.

Each neighborhood loses calls in its own way, so each one gets its own page instead of a paragraph here.

Also Hialeah · Kendall · Westchester · Doral · Homestead · Miami Lakes · South Miami · Coconut Grove · Fort Lauderdale. Outside South Florida? The setup is the same, and we do it over the phone and screen share. See full coverage.

SECURITY & TEXTING RULES

Texting customers has rules. Here is who handles what.

This system sends texts in your company’s name, and the law has rules about that. Three parties share the work. The software company keeps the system secure. We set it up the right way. And your company owns the part no vendor can take: your rules, your training, and your customers’ permission to be texted.

The software

Keeps your data encrypted, controls who can log in, and logs every login.

We set up

Carrier registration, STOP handling, quiet hours, and stopping when someone replies.

Your company

Your rules, your training, who on your team can do what, and your customers' okay to be texted.

No product is “TCPA certified,” ours included. That certification does not exist. The companies we rely on, the agreements between them, and what we cannot yet confirm are all on the Texting Rules page. We are not lawyers and this is not legal advice.

WORKS WITH YOUR DISPATCH SOFTWARE

Keep ServiceTitan, Housecall Pro or Jobber. We work in front of it.

No need to switch. YaContesta.pro answers the call, texts the customer, and books the job before it ever reaches your dispatch board.

Hand-off to your dispatch software

Once a job is booked, the whole record, name, address, language, where they came from and the full history, goes to ServiceTitan, Housecall Pro or Jobber for dispatch and invoicing.

YaContesta.pro runs the phone and the booking. Your dispatch software still runs the trucks, the job costs and the invoices.
RUN YOUR OWN NUMBERS

What are your unanswered calls worth?

Enter your own numbers. This shows what your unanswered calls are worth today, whether you run air conditioning, plumbing, electrical or roofing.

Calls you get each month: 25 calls/mo
5 (one truck) 50 (a few trucks) 150 (more than one shop)
Average job (parts + labor): $2,400
$250 (service call) $600 (typical repair) $6,000 (replacement)
How many callers book today: 30%
10% (phone tag) 30% (reply by email) 50% (fast call back)
Not booking today

$489,600

In annual job value, across 17 calls a month

Booking today: 8 of 25/mo
Not booking: 17/mo
Every 5% more who book: $2,400/mo

We will not tell you how many more you will book. Nobody honestly can. What we can say is this: how fast you reply is the one thing most companies have never worked on, and the number above is what it is worth to you right now.
